Security - User Groups

INTRODUCTION

Agility Professional has a lot of security and these are linked by users by added to groups that have permissions.
Groups could be Counters, Office, Management, Owners and each of these groups have access to certain features of Agility Professional.
When creating, copying, editing this not only does the Group Access Rights but also if boxes are ticked on the right under Group Authority then those users need permission to do these things.

CREATING A GROUP

To create a group go to Tools - Tools Menu - Security - Create a Group


Create Group

The section Create Group can create a group from scratch with 2 options Minimum Security or Maximum Security
Add Group Id and Description.

Copy Group

If, there is a group that has access to things but then want to add users to a group and remove certain security or add then select the group from the drop down and then copy.

Edit Group

If there are existing groups and they need editing select the group id.

Remove Group

Users need to be removed from a group before removing the group

Group Authority

If any of these are ticked or have a value in then Management authorisation will be required:

  1. Override Discount:
  2. Delete Restock Chg: 
  3. Discount Below Margin:
  4. Allow Full Discount: This is F9 as an overall discount on a sale
  5. Refunds: Need permission to a standard Refund
  6. Damage Goods:
  7. Delete Referred Sales: Only applicable if referred tills are used
  8. No Sale: This allows the Cash Drawer to be opened
  9. Till Maintenance: Give access to maintaining the tills - Security - Till Maintenace
  10. Close Till: If, 2 tills are used on the same PC
  11. Prompt for Delivery/Collection:
  12. Promotional Voucher: Needs permission to do this type of voucher - Most are now moving to Gift Cards
  13. Write Off:
  14. Force Close Delivery: If, deliveries are used
  15. Process Negative Sale: This could be possible when exchanges are used in conjunction to a sale
  16. Discount Profile Price: If, profiles are used then user needs permission to change
  17. Edit Sales Order:
  18. Margin < Delivery Min:
  19. Override Delivery Charge:
  20. Prohibit Derived Price Override: Tolerance as a %
  21. Associated Refunds Only: User cannot do a refund unless linked to sale
  22. Override No Discount Allowed: If stock codes have this flagged then user needs permission to reduce
  23. Maximum Discount Without Management Auth: -1 No Restriction
  24. Max Till Write Off Without Management Auth:  -1 No Restriction
  25. Maximum Customer Settlement: When receipts are taken from customers for account payments as a %
  26. Max Value Purch Inv Can Be Authorised Purchased Invoice:  -1 No Restriction

Add a User to a Group

After creating users they need to be assigned to a group in order to use Agility Professional
Security - Add User to Group

From the Group ID drop down select the group that the user is going to be assigned to
Now select the user from the left list All User(s) and press Add
If, they are currently part of a group then a message will ask to confirm the change showing the group they are currently assigned to.
If more users than scroll until the user is found.
