Stores will often use stock for their own purposes and this is how Agility handles the procedure.
Please ensure that a nominal account is created.

In many systems this could already been done.
Exactly the same as creating a customer account with a few exceptions which you can see below.
- Set up a Customer called Shop for example.
- Set flag on Customer for items to be sold at Cost
- Set margin on Cost to -1 following message appears select YES
3.Set flag on Account for Zero Vat by ticking VAT Exempt
- Charge items to this account as used
- At the month-end a journal will need to be done against the shop account and the Shop Usage Nominal Account
CREATING a JOURNAL
Go to Nominal - journals - Journal Entries
As Agility is an accounting software a journal MUST have 2 entries to balance the total to = 0
Change the date to post if required
Press the ADD button
Enter a description
From the Ledger drop down select SALES
Now select the shop usage account
Credit the account first for the amount
Now select from the the Ledger Nominal
Select the Nominal account for Shop Usage
Select Debit next to the amount and enter the same value which will set the journal to 0
POSTING JOURNAL and CREATING a TEMPLATE
You can save this as a template for future use by selecting SAVE and giving it a name
To Post the journal if there is more to do press NEW or press CLOSE
The user will be asked to confirm posting the journal
Say yes and a reference number will be shown on the screen say OK
The balance on the account will be 0 or whatever balance has been left.
CASH MATCHING
Now match off the transactions to clear them from browse customers.
Select the transactions and then MATCH
OPEN TEMPLATE
When the user opens a journal select the OPEN button
You will be shown a list of saved journal templates select the shop usage
Now the user just needs to change the value
CREATE a NOMINAL ACCOUNT
If there is no nominal account created then this will need to be done.
Go to Nominal - Ledger Maintenance - Nominal Ledger Accounts
Select the ADD button
Select Profit and Loss Account
Then select Expenditure Account
Create the new Account Number - e.g. P72450
Enter how this will be group on financial records like TB, Balance Sheet and P&L
Give a description - Shop Usage
Close the screens
