Sale - Sales Orders

INTRODUCTION

Sales Orders work directly with the delivery system and items can only be sold/despatched if there is a stock quantity.

Create a Sales Order

Navigate to Sales - Sales Orders and the screen that opens has the sale look and feel as creating a Direct Sales Invoice.


Explanation of the Screen:

User id - User enters their credentials
Customer - Select the customer by typing their account number or search by right mouse clicking on the search glass.
SO Number - This is auto generated each time the form is open.
Contact and Telephone - Auto populates once a customer is selected
Depot - This is default to Main but if multiple depots exist on the system a user can choose.
Stock Type - This is default to S as Standard stock
Order Date - This defaults to the current date
Customer PO Reference - Enter your customers PO number if one is provided.

EDIT

To edit a line select the row and then double click and the ADD Item screen will open.

Add Item

Press this to add items to the order

This is the same screen that is used through all Agility, Purchase Orders, Direct Invoices etc.
Once a codes is found press the Add Line button
The screen remains open to allow the user to add more codes to the order
Once the order is completed press the close button and this closes the screen so the user can then see the complete order
Clear button clears the stock code screen so the user can search again.
Allocations - Will show codes that are already allocated

Delete Line

When their are codes in the order and selected in error select the row and press this to remove the code from the order

Add Charge

Charges have to be created on the system before this can happen

Delivery Details

When this button is selected the account and address are shown.

Items in red are required for the delivery system
Delivery can be placed on hold also by selecting the tick box

Save Order

When the user is satisfied the order is complete press this button
User will be informed that the sales order has been saved with a number
The next screen to open is the email screen if the user wants to send the customer the sales order.
Press the X to close the screen but an email address needs to be there before this can be done.
The system now allocates the stock for the order and the user gets a message:

Select Yes and another screen opens:

This screen shows the order information.
Select the Print Pick List Button
If, the Pick List/Load List is to print immediately then change the printer settings to do so.
The list will print a and the row will change to blue showing it is being picked
Press the Exit button
The order will now be in the delivery system ready to be despatched.
When despatched for Trade customers an invoice will be printed.
Change sprint settings to print immediately.

Layout

If, company does not use the matrix codes then these can be moved so more relevant information is seen.
For example user may want to see the fields to the left; Qty Ord, Allocated, Picking, Shipped etc.

Cancel Line

This does exactly what it says and pressed a message appears informing the user what is about to happen

Select YES or No
When finished press the EXIT button and the sale is no in the deliveries system

Allocations

When this button is pressed another screen opens to see the allocation of stock.

Clear

Clears the order completely and user sill be asked if a temporary copy is to be saved. Answer YES or NO

Open

Opens an order and the SO Number field is empty so order can be typed or searched for by pressing the search glass.

Layout

Change the layout of the screen so the user can see what they want. Standard in Agility

Copy SO

When this button is pressed the user needs to know which sales id to copy from and not the invoice number
This can seen by going through Sales - Sales Queries - SO/ EPOS Details and look at the Sale ID column



This then returns the order codes into the new Sales Order

Open Quotes

When this is selected the quotes screen opens so that a quote can be created
